How to set up an automated review reminder sequence

The short answer

The sequence that works is three messages: a thank-you within hours → your direct Google review link the next day → one gentle reminder 2 to 3 days later, sent where your customers actually read (WhatsApp in India), stopping the moment they review or opt out. You can run it by hand for free, or use review follow-up automation software to run it for every customer without you thinking about it.

Most businesses that ask for reviews send exactly one message, at a random time, with no follow-up, and then conclude "asking doesn't work". But the follow-up is the strategy: most customers who skip your first message aren't saying no, they're just busy. The reminder is where roughly half your reviews come from. Here's the full sequence, ready to copy.

The 3-message sequence

  1. The thank-you (same day, within a few hours). No ask, no link, just gratitude. This message does the invisible work: it confirms they have your number saved in a good mood, and it makes the next message feel like a conversation instead of a campaign.
"Hi Priya! Thank you for dining with us today 🙏 Hope you loved the biryani!"
  2. The ask (next day, mid-morning or early evening). One sentence, one direct review link, the kind that opens the ★★★★★ box in a single tap (here's how to get yours).
"If you have 30 seconds, would you share your experience on Google? It genuinely helps our small business: [link]"
  3. The one reminder (2 to 3 days later, only if they haven't reviewed). Soft, short, final.
"No pressure at all, just in case it slipped your mind! [link] Thanks either way 😊"

The four rules that keep it working

⚠️ Why the manual version quietly dies

Running this by hand means tracking who visited, who got message 1, who's due message 2 tomorrow, who already reviewed and must NOT get message 3. And that is for every customer, every day, including your busiest ones. Owners keep it up for about a week. The sequence doesn't fail; the bookkeeping does. That's the actual problem apps that send review reminders to clients exist to solve.

Automating it

Any good review follow-up automation software runs the timing, tracking and auto-stop for you. You just add the customer's number (or connect your billing/booking flow) and serve people as usual. The checklist when choosing one: does it send on the channel your customers read (for India: WhatsApp, from your own number, via the official API)? Does it auto-stop on review and honour opt-outs instantly? Can you edit every message? Is the pricing sane for a local business? We compared the five main tools here, including where ours isn't the right pick.
