Why you should stop using email-based review software in India

The short answer

The open-rate gap is real and large, roughly 20 to 30% for email against 80 to 90%+ for WhatsApp in India. But that is not actually the main problem. Most Indian retail, restaurant and salon customers never gave a small business an email address at all, only a phone number. Email-based review software cannot ask a customer for a review over a channel it was never given access to in the first place.

A lot of review software was built for a market where customers hand over their email address by default, at checkout, at signup, everywhere. Walk into a restaurant, salon or neighbourhood shop in India and ask how many customers have ever given their email address, as opposed to their phone number. The honest answer for most owners is close to zero.

The reach problem comes before the open-rate problem

Email-based tools quietly assume you already have an email list worth mailing. For most small Indian businesses, that assumption is false on arrival. Phone numbers get collected constantly and naturally, for a delivery, a booking confirmation, a loyalty card. Email addresses mostly do not, because nobody asks for one and customers do not expect to be asked. A review tool built around email is, in practice, a review tool with almost nobody on its list.

And then the open-rate gap makes it worse anyway

Even for the smaller slice of customers who did give an email, most personal inboxes in India are checked far less often than WhatsApp, and review-request emails routinely land in a Promotions tab nobody opens on purpose. WhatsApp sits at roughly 80 to 90%+ open rates for this kind of message, against roughly 20 to 30% for email. That is not a small optimisation, it changes whether the campaign works at all rather than just how well.

Why WhatsApp fits how these businesses already operate

A restaurant already has the customer's number for a table booking or a delivery order. A salon already has it for an appointment reminder. A clinic already has it for a follow-up. The number is already sitting in a register or a booking app, doing nothing extra, when it could just as easily trigger a review request the moment the visit is marked done. No new data collection step, no asking customers for something they were never going to give.

⚠️ If you already have an email tool, don't just add WhatsApp on top blindly

The fix is not running both channels for the same customer. It is recognising which channel your customers actually gave you, and using that one, properly, rather than defaulting to whatever the software happened to be built around.

💡 A quick gut check

Look at your last twenty customers. Count how many gave you an email address versus a phone number. For almost every restaurant, salon, clinic and small retail shop in India, that number settles the question before open rates even enter the conversation.
